The customer experience of many packaging suppliers is like this: sales orders are enthusiastic and then throw them to production; production problems are pushed to the design; logistics delays are blamed on the shipping company. Customers are forced to explain needs repeatedly between different departments, consuming a lot of energy. Since the first day of its establishment, Hunan KB Packaging Materials Co., Ltd. has established a team collaboration model with the "project leader system" as the core, closely linking the design department, production department, and logistics department around the same customer order, allowing customers to only Talk to one person but get collaborative services from three departments.
Role 1: Design Department-not only "drawing", but also "the first line of defense for printing technology"
The designers of KB packaging all have knowledge of the printing process and can identify whether the "effect desired by the customer" can be achieved under existing materials and digital printing conditions. For example:
If the RGB color submitted by the customer exceeds the color gamut of HP digital printing, the designer will proactively provide alternative Pantone proximity colors and print color samples for confirmation.
If the thin lines or small-sized text designed by the customer cross the heat sealing area, the designer will remind and adjust the position to prevent the text from being deformed or unreadable after sealing.
If the customer wants to achieve the bronzing effect, the designer will issue the knife layout and bronzing layering document, and confirm the positioning accuracy of the bronzing module with the production department.
Low MOQ friendliness is another principle of the design department: even if there are only a few thousand bags for orders, the design department provides complete color separation, imposition and proofing services.
Role 2: Production Department-the "final confirmation valve" before execution
KB packaging's production plan is different from the "busy work" of traditional factories. Before each roll of materials is loaded on the machine, the production department will do three things:
First article inspection: After printing the first meter and making the first bag, the quality inspector will immediately check the full size, full color and full text against the design signature.
Customer notification: For important orders, the production project manager will take a video or photo of the first finished product and send it to the customer via WeChat/email to obtain confirmation that "production can continue".
Process random inspection: Process inspection is conducted every 2 hours to record key heat seal temperatures, cursor tracking accuracy and other data.
If any minor deviations are discovered during the production process that may not meet customers 'expectations (such as slight differences in gloss caused by material batches), the production department will proactively suspend and report them, rather than waiting until the customer is surprised when delivery occurs.
Role 3: Logistics Department-an extension from "delivery" to "delivery experience"
Most suppliers believe that "production is completed and packed" is the end of the job. KB Packaging's logistics department extends services to pallets in customer warehouses:
Intelligent packing calculation: The logistics department will optimize the arrangement direction and packaging method of bags, so that a 40-foot-high container can hold 5-8% more goods than the conventional loading method, saving customers sea freight.
Document pre-examination: Send drafts of bills of lading, container list, invoice, certificate of origin and other documents to the customer's customs clearance department for pre-examination in advance to avoid port detention fees due to document errors after arrival at the port.
Risk warning: If shipping schedules are delayed or customs inspections, the Logistics Department will proactively notify customers and assist in contacting local agents to speed up processing, rather than letting customers check the shipping company's website themselves.
One team, one goal: Get packaging safely from ideas to market
There is an unwritten rule inside KB packaging: a problem discovered by any department is a problem for the entire team. If the design department finds that the customer's document is defective, it will not return it to the sales department for the customer to correct it himself. Instead, the design department will directly provide two correction plans for the customer to choose from. If the Logistics Department discovers that the shipping company may strike, it will notify the Production Department in advance to speed up the completion of the emergency batch, and at the same time, the Design Department will prepare a simplified version of the emergency packaging documents.
This culture of "all departments are responsible for delivery" has kept KB packaging's net customer recommendation value (NPS) at an industry-high level over the past three years. A food exporter who has worked with KB Packaging for five years commented this way: "To cooperate with KB Packaging, you don't need to understand the packaging process, keep track of production progress, and don't need to worry about customs clearance documents. You just have to tell us what you want and wait to receive the qualified product."
Start collaborating now: Whether you have a complete design draft or just a preliminary idea, KB Packaging's team is ready to work from your perspective to transform packaging into your brand's most reliable silent salesperson.
